is there a way to have it use the chart book file from instance 1 ? so i dont have to transfer files everytime ?

No. The Chartbooks always have to be separate for each instance.

right so i have to copy and paste my data files into new data ?

Yes you will have to copy them into the Data folder used by the new instance.
